Background
Building Markets will now expand its model and resources to Jordan, starting with a Market Assessment of refugee and Jordanian micro, small and medium-sized enterprises (MSMEs). The objective of the Assessment will be to bring visibility to the growth constraints and capabilities of these businesses so they can be more effectively connected to opportunities emerging in the local marketplace. This includes access to tenders, capital, online profiling, and training.
Position
Under supervision of the Project Manager and Building Markets HQ Finance staff, the Admin & Finance Assistant will support all related administrative, financial, human resource, and logistical functions at Building Markets Jordan office, ensuring coordination and compliance with established protocols during the launch of this new project. This is a full-time position.
Duties and Responsibilities
Logistics
- Liaise with HQ and field staff to book travel;
- Manage logistics for expatriate visitors and new hires (e.g. staff orientation, visas, work permits, etc.)
- Assist in scheduling interviews and meetings;
- Serve as communication liaison officer for staff out the office;
- Ensure the maintenance of property and assets (e.g. leases, rent & utility services, maintenance & repair).
Human Resources
- Provide training on benefits, travel protocol, office equipment, leased property, physical and moveable assets and communications for new staff;
- Maintain personnel files of all national staff (contracts, timesheets, leave records, etc.);
- Ensure adherence to the procedures outlined in the National Staff Handbook.
Finance
- Obtain quotes for upcoming office costs;
- Work with Project Manager and staff to ensure procurement policies are followed for all purchases;
- Manage daily accounting and finance functions, including the timely recording of transactions, cash management, banking, payroll and accounts receivable and payable;
- Complete standard monthly accounting submissions and routine reporting;
- Assist PSM to perform internal checks (informal audits) and reviews as required to ensure compliance with BM policy and best use of funds;
- Evaluate and report any instances of fraud, corruption or other misuse of funds.
Administrative
- Organization of documentation and filing;
- Maintain and monitor office supplies;
- Maintain confidentiality of all administrative information;
- Assist Project Manager in representing Building Markets when dealing with the government and financial institutions.
Qualifications
- Minimum 2 years work experience in an administrative role;
- Excellent English and Arabic language skills, both written and oral;
- Advanced Ability to work with MS Word and Excel;
- Good interpersonal skills, ability to work in a team and interact with all levels of Jordanian and non-Jordanian staff, local vendors, and Building Markets’ partners in a friendly, respectful, and professional manner;
- Strong organizational skills and attention to detail;
- Strong motivation to promote private sector development in Jordan;
- Entrepreneurial and resourceful attitude.

- Full-time, 5-month contract, subject to extension upon review.
